01 / Policy overview

From first contact to the right conversation.

Our communications policy outlines an automated assistance layer for incoming email: receiving a message, reviewing its context, and directing it to a team able to respond. People remain responsible for substantive decisions and replies.

The principle
Automation should make communication more useful, not less personal.

Exohood Labs describes AI-assisted communication handling that helps identify the topic, likely priority, language and appropriate destination of incoming correspondence. Technology supports processing; it does not replace the need for considered human review.

02 / The communication journey

Three connected stages.
One clearer outcome.

Select a stage below to explore the approach described in the Exohood Labs email communications policy.

Exohood / Message intelligence

ILLUSTRATIVE WORKFLOW · SELECT A STAGE

01

A structured first point of contact

The policy describes an intake layer that receives communications for secure processing. Message content and context are made available to the authorized systems involved in routing.

This is an interactive explanation of the published processing approach, not a live monitor of any user's message or a guarantee of specific automated actions for every channel.

03 / AI system capabilities

Intelligence that understands the context.

Our source policy describes several capabilities that support triage, security checks and the routing of business communications.

CAPABILITY / 01

Natural language processing

Language awareness can help interpret the purpose and tone of a message without requiring the sender to choose a highly technical category.

  • Multiple-language understanding
  • Intent and topic recognition
  • Sentiment and communication context
CAPABILITY / 02

Smart classification

Incoming enquiries can be organized around what they concern, how quickly they may need attention, and whether they require additional screening.

  • Topic categorization
  • Urgency assessment
  • Spam and suspicious-message signals
CAPABILITY / 03

Security-oriented screening

Our policy describes safeguards intended to help identify risky or deceptive email content and reduce unnecessary exposure during processing.

  • Suspicious-link and phishing indicators
  • Malware-related screening where supported
  • Protective handling and access controls
CAPABILITY / 04

Intelligent distribution

After classification, communications can be routed according to expertise, subject matter and operational needs.

  • Department matching
  • Expertise-based forwarding
  • Workload-aware prioritization
04 / Data protection and privacy

Security is part of the conversation.

The policy emphasizes protecting communications while they are received, examined and directed. Clear boundaries are essential when a system needs access to message content to classify it.

Protected transmission and handling

Use official Exohood pages over HTTPS when submitting website enquiries. Email protection and encryption depend on the sending and receiving systems; users should not assume ordinary email provides end-to-end encryption.

Access and confidentiality

Communication handling is intended to limit access to authorized personnel and systems. Senders should avoid including passwords, recovery phrases or highly restricted information in standard correspondence.

Data minimization and retention

The original policy describes removing personal message content from the AI-processing layer after routing while retaining limited metadata for operational improvement. Other communication records may have separate retention obligations.

Applicable data protection rules

The published policy references UK GDPR, the Data Protection Act 2018 and PIPEDA where relevant. Which rules apply depends on the processing circumstances and jurisdiction.

The descriptions above are a presentation of Exohood Labs' policy objectives, not a technical security certification or a statement that every channel uses identical processing. To understand data practices and your rights, consult the Privacy Policy.
05 / Responsible improvement

Learning from patterns.
Protecting the person.

The original policy describes supervised improvements, performance evaluation and privacy-focused processing intended to make classification more accurate and useful over time.

Continuous refinement

Models and workflows may be refined through supervised evaluation of routing outcomes and recurring communication patterns.

Performance measurement

Operational signals such as classification quality and routing outcomes can inform improvements to efficiency and accuracy.

Privacy-first boundaries

System improvement should follow data-minimization principles and avoid unnecessary exposure of personal communications.

This page explains the original policy. It does not mean an AI model is running locally in your browser, nor that every message is automatically used to train a model.

Questions about communications

Clear answers, before you send.

Does AI read every message sent through the website?

The source policy describes AI-assisted processing for email communications. Individual contact channels can use different server-side workflows, and this page does not imply that a model processes every website submission.

Can AI make decisions on behalf of the company?

The policy focuses on classification and routing. Human teams remain responsible for substantive responses, decisions and any resulting business engagement.

Is ordinary email end-to-end encrypted?

Not necessarily. Encryption in transit may protect parts of the delivery path, but mail systems and authorized recipients can access message contents. Avoid sharing credentials or classified data through ordinary email.

What happens to information after a message has been routed?

The source document describes deleting personal content from the AI-processing component following successful routing and retaining limited metadata for improvement. Separate mailboxes, contact systems and legal retention requirements may apply.
